ROOM RENEWAL

Bard Hall residents who would like to live in Bard Hall or the Georgian Residence for the 08-09 academic year participate in Room Renewal. You can elect to “retain” or stay in your current room or “select” another room or building for next year.  Medical students are not eligible for housing in the Georgian Residence.

The units used in Room Renewal include single dorm rooms in Bard Hall and studios, 2,3 person suites in the Georgian Residence. (click PDF for floor plans, unit description and daily room rate).

Room Renewal follows the Lottery/Apartment Selection Process. Many students use Room Renewal as a “Housing Insurance Policy” or fallback option while they are exploring other housing possibilities. If you participate in Room Renewal, you will sign a 08-09 Dorm Housing Contract and will submit a $300.00 initial payment. You have until August 1 to cancel this contract without penalty. Cancellation penalties begin on that date.

We give dorm students a Dorm Housing Academic Year Contract which corresponds with the academic calendar of your school and year. Recesses designated by the University which fall within the terms of the contract are included in the contract period. Students must apply separately for summer housing. The cost of the contract is determined by multiplying the daily rate of the room times the number of days in the contract. The contract payment is divided into installments, fall term charge/spring term charge.

Who is eligible?

You are eligible to participate if:

  • You hold a Bard Hall 2007-08 Dorm Housing Contract and

  • You are a full-time matriculated student enrolled at the Medical Center and

  • You are in good financial standing with the University and

  • You will maintain full-time status throughout the upcoming academic year

How does it work ?
There are four parts to the Room Renewal Process:
The application, the random ordering, room listing, selection & renewal and contract signing.

THE APPLICATION
You may apply to “retain” or stay in your current room or “select” another room or building for next year. Completing the "retain” section of the application notifies the Office of Housing Services that you wish to maintain your current room assignment for the upcoming academic year. Your room is declared a "retain” room and will not be part of the ROOM DRAW Pool. Completing the “select” section notifies us that you do not wish to maintain your current room and that you will select another room. Your current room will be declared a “select” room and will be added to the ROOM DRAW pool. You may not make changes to your application once it has been submitted.

Each applicant must submit an application. Individuals who elect to “select” may apply by themselves or as a group of 2 or 3. Groups should submit their applications together. Upon receipt, a staff member will date stamp each application. Copies of the validated application(s) will be given to each applicant. Applications will not be accepted after the deadline.

RANDOM ORDERING
Applications are separated into two categories-"Retain" and "Select". All applications are then randomly ordered. All “retain” applicants are assigned a time to report for contract signing. All “select” applicants are assigned a time to select a room and sign a new contract. A list of reporting times is posted.

ROOM LISTING
All “retain” rooms are marked off on the Bard Hall or Georgian floor plans. All remaining rooms are available for Room Selection. These plans are posted. Tampering or marking the posted floors plans will not effect room availability. The master floor plans are kept in the Housing Office.

The room charge is based on a daily room rate. Heat, hot and cold water are included in the room rate. Telephone, cable service are not included. The buildings are not equipped with central air conditioning. Each building has laundry facilities and 24 hours security coverage. The rates are subject to an annual increase at the beginning of each academic contract year.

Room Selection is scheduled for Thursday, May 3rd. CUMC I.D. is required.

What if I cannot attend Room Selection?
You may designate another student to report for you as a Proxy. Forms are available from the Housing Office. The form must be filled out by both the student and proxy at least two days before Room Selection. The proxy is responsible for selecting a room on your behalf and completing the contract. The room the proxy selects on your behalf is final and binding.

What if I miss the Application Deadline?
You will not be eligible to participate in Room Renewal. Applications submitted after the deadline will be placed on a waitlist. Waitlisted students are not offered dorm housing until all incoming students have been accommodated. These assignments begin in early September.
