Instructions for Moving In Your Dorm Room/Bard Hall and The Georgian Residence
Living in Bard Hall, the Georgian Residence

You may move into your assigned building from 9AM-5PM on the first day of your contract. (See contract grid schedule on your offer of assignment). To receive your keys and security Access passes, report to the Office of Housing Services which is located on the first floor of Bard Hall. Bring a photo I.D. and a copy of your signed contract with you. You may use the 60 Haven Avenue Tower 1 entrance to access Bard Hall.

Early Arrivals
You may request to move in 1 or 2 days prior to the official move in date. Early arrival requests to Bard Hall should be e-mailed to Amy Garcia at ag12@columbia.edu. Request for the Georgian Residence should be e-mailed to Noemi Bueno at nb141@columbia.edu. Each request will be reviewed on a case by case basis and granted based on room availability and readiness. Early arrival billing begins on the date you receive your room keys. The early arrival charge is calculated by multiplying your daily room rate times the number of additional days.

Late Arrivals
If you will be delayed or will not be arriving within 48 hours of move in, it is asked that you notify the Office of Housing Services so that your room will be held. If notification is not received and the 48 hour period has elapsed, your contract will be cancelled and your room will be reassigned.

Campus information
Information about the campus and the community, maps and directions parking, food venues, ect. Can be found at www.cumd.edu/about/campus/.html. The streets around the Medical Center are heavily used and street parking is very limited. Double parking is permitted on scheduled move-in days while you are unloading your belongings. Someone should stay with your vehicle at all times.

You are required to use the above listed mailing address to have mail distributed to your residential mailbox. Mail received with either an incomplete or incorrect mailing address will not be processed and will be returned to sender.

All mail for Bard Hall and Georgian Residents is delivered to the Bard Hall mailroom. It is then sorted and distributed to the resident mailboxes in each building. Letters will be placed in your assigned mailbox. Oversized materials such as magazines, large letters and packages will be received and held in the mailroom for you to pick up. The mailroom is open M-F 10 AM-6PM. Photo I.D is required. Do not ship any boxes until you have arrived at Bard or Georgian. We cannot be held responsible for items or appliances.

What to bring
All accommodations are furnished. You should bring your own bed linens, pillows, blankets, towel, bedspreads, rugs, task lighting. You should bring flatware, dishes, pots & pans, cooking utensils and small appliances such as toasters or microwave in Georgian only. Cooking is not permitted in Bard Hall rooms. Bard residents may bring a mini-refrigerator (max .size 5.5 cu ft).

Air Conditioning
Bard Hall and the Georgian Residence are not centrally air conditioned. You may bring your own air conditioner. It should meet the following University specification- the unit should not exceed 5,000 BTU’s and must be no larger than 15 inches high and 27 inches wide. Your unit must be installed by university maintenance staff. At check-in you can make this request by completing an Air Conditioner Work order form. There is a $25.00 installation fee.

Computing
All residential units are wired which means that you are able to connect a properly configured computer and network adapter card to the campus computer network. As a dorm resident you can call the information commons at 305-help for assistance or register your computer’s hardware address online at http://www.cubhis.org/IC/support_center/resnet.html.

Security
Dorm Housing is manned with 24 hour security personnel. You must present your Medical Center I.D. to enter your residence and all Medical Center buildings. Delivery men are not permitted in the buildings. You are expected to come down to the security desk to accept a delivery.

Visitors
You are welcome to have visitors in Bard Hall and the Georgian Residence. Your visitors should report to the security desk in your building. You will be called by security staff to confirm the arrival of your visitor and that you are home. Your visitor will not be given access to the building if you are not in. Each visitor will be asked to leave a photo I.D. and will be issued a Visitor Pass. It is not permissible to have a permanent visitor / guest in your room. Under no circumstances will Housing Office Personnel issue your visitor into your room when you are away. When you invite a visitor to campus, you assume responsibility for his/her behavior. In addition, your visitor is responsible for following all University rules and regulations as would any other member of the living community. Visitor privileges may be
revoked as a result of inappropriate behavior by you or your visitor. Policy violations on the part of your visitor will be referred to the Housing Administration. Violation which may require immediate action will be referred to the Director for University Housing and the Dean of students of the host’s school.

Housing and Move-In Information for Students Living in Apartment Housing

(Bard-Haven Towers I, II, III, 106 & 154 Haven Avenue and 390 Ft. Washington Avenue)

Lease Signing and Moving In
This is to confirm that you will be signing a New York City/Columbia University Lease with Maryam Isa (mi2200@columbia.edu), Leasing Agent. You should report to the Office of Housing Services-50 Haven Avenue (see enclosed map). The lease lecture and signing takes about 45 minutes. Photo I.D. is required. You should direct any additional questions to Maryam Isa at 212-304-7267.

At lease signing you will be required to submit a check which reflects payment for the first month’s rent. This payment will show as a credit on the first bill you receive from the University Controller’s Office. All payments can only be made by you –“the Tenant of Record”.

Leases are generated on the 1st and 15th of each month. Students leases expire on May 31 of each year and are automatically extended for another year provided that you maintain full-time student status, are in good financial standing and have maintained all terms and conditions of the lease.

After lease signing you will be given your apartment keys. Billing for your apartment will begin on that date. Once you have received your keys, you can report to your building and move-in.

What to Bring

Routine operation and maintenance of your apartment and the building is the responsibility of your building superintendent who reports to the Manager of Residential Operations. Any necessary repairs will be performed by your superintendent, building personnel or by a contractor such as a plumber or electrician authorized by the University.

You are responsible for regularly removing trash and garbage from your apartment. Trash/incinerator closets are located on each floor. In addition, you are responsible for regularly cleaning your apartment including kitchen appliances, bathroom fixtures, and floors and for following NY City recycling guidelines.

Repairs in Your Apartment
Service request forms can be found in the lobby of your building, at the doorman’s station, or the Office of Housing Services in Bard Hall. Give a detailed description of the problem and date/time someone will be in the apartment to allow the superintendent access. Mark “permission to enter” if you want to give permission to the superintendent to enter your apartment when you are not there. Any questions or concerns about your apartment or building including lack of heat, no hot water, etc. should be addressed to your building superintendent or the Manager. You may also contact the Office of Housing Services at 212-304-7000.

Security
Apartment housing is covered by 24 hours security personnel. At 106 Haven Avenue, the building’s security system is monitored by the doorman in Tower II. You must present your I.D. each time you enter all academic and residential buildings at the Medical Center. At night the Office of Public Safety can provide an escort back to your campus housing. In addition, the immediate Medical Center areas are monitored via security cameras and are patrolled by both foot patrol and a security car.
